The honest bit

Almost every office is an after hours job

Nobody wants a vacuum running past their desk at three in the afternoon. So the work happens after your last person leaves, which means it attracts a shift loading, which means it costs more than the headline rate. We would rather say that on the page than discover it with you in month four.

The Cleaning Services Award pays a loading for a shift finishing after 6pm. In Victoria our loaded cost for an employed full timer on that shift is $44.30 an hour. We charge $64. That is a workable margin and not a generous one, which is exactly why a competitor quoting a single flat rate across daytime and evening work should make you curious rather than pleased.

If your tenancy genuinely can be cleaned during the day, say so at the inspection. A daytime scope at $58 an hour plus GST is meaningfully cheaper and we will tell you when it is realistic. Small suites, quiet floors and businesses that close at four often are.

Scope

Where office complaints actually come from

After enough sites the pattern is boring and reliable. Almost nobody complains about the carpet. They complain about the kitchen and the washroom, because those are the two rooms every person in the building uses and judges.

Kitchens and staff rooms

Benches, splashback, sink and taps, the outside of every appliance, the microwave inside and out, the fridge exterior and handles, bins emptied and the liner changed. The dishwasher emptied where you want that included. The kitchen is cleaned every visit, without exception, because a kitchen skipped once is noticed by everybody.

Washrooms

Pans, urinals, basins, taps, mirrors, dispensers restocked, hard floor mopped with a dedicated mop, bins emptied and sanitary units serviced. Colour coded equipment is not shared with any other area. This is the room that decides whether your building feels looked after.

Touch points

Door handles and push plates, light switches, lift buttons, stair rails, shared keyboards and phones on hot desks, meeting room table edges and the coffee machine. Listed as a separate scope line rather than assumed inside "wipe surfaces", because it is the line people ask about.

Workstations and floors

Desks cleared of visible debris and wiped where the surface is clear, chairs pushed in, bins emptied, carpet vacuumed and hard floor mopped. We do not move papers, and we do not touch anything on a desk marked as not to be moved.

Glass and entries

Entry doors, internal glazing, partition panels and reception glass spot cleaned every visit and detailed on a periodic cycle. First impressions are made in the first three metres of the tenancy and that is usually all glass.

Periodic work

Carpet extraction, hard floor scrub and recoat, high dusting, vents and light diffusers, internal window detail. Costed for the year and divided across twelve invoices so the monthly figure never spikes in the month it falls due.

Consumables are optional. If you want us to supply hand towel, toilet paper, soap, bin liners and sanitary services we charge them at cost plus 20 per cent and show the line on the invoice. Plenty of clients keep buying their own, and we will tell you when that is cheaper.

What a Melbourne office actually costs a month

Hourly rates are for comparing contractors. Monthly figures are for approving a budget. Here is how one turns into the other.

Take a 320 square metre professional suite in Preston: open plan for twenty two people, three meeting rooms, a reception, a kitchen and two washrooms, cleaned three evenings a week starting at 6:30pm. Measured against production rates that is a shade over two hours a visit. At the after hours rate of $64, across roughly 13 visits a month, with periodic carpet and high dusting amortised across the year, the fee lands near $1,850 plus GST a month.

Every line of that appears on the proposal: the area, the hours, the rate, the frequency, the periodics and the amortisation. You are not handed a lump sum and asked to trust it. And because the price is fixed rather than hourly, if our cleaner gets faster on your site over six months that is our gain, not your extra invoice.

Serviced offices and coworking

Preston and Coburg both carry a real cluster of serviced office space, and a single building will often hold several separate businesses that each want cleaning on their own terms. We quote those two ways.

  • As one contract with the building operator, covering common areas and all suites
  • As separate small contracts per tenant, each with its own scope and invoice
  • Or a hybrid, where the operator covers common property and tenants opt in

How much does office cleaning cost per month in Melbourne?

It depends on floor area, fixture count and frequency, but a useful band is $2.00 to $6.00 per square metre per month for Melbourne office space. A 320 square metre suite cleaned three evenings a week lands near $1,850 plus GST. Open plan floorplates sit at the low end of the band, tenancies chopped into many small rooms sit at the high end, and we tell you which yours is at the inspection.

Why do you charge more after 6pm?

Because we pay more. The Cleaning Services Award pays a loading for a shift finishing after 6pm, and our Victorian loaded cost on that shift is $44.30 an hour against $38.98 during the day. We charge $64 rather than $58 and show the difference on the quote. A single flat rate quoted across both windows means the contractor is absorbing the loading, which does not last, or has not accounted for it yet.

Can you clean during business hours instead?

Sometimes, and it saves you money when it works. Small suites, quiet floors and offices that close by four are often fine with a daytime scope at $58 an hour plus GST. Busy open plan floors are not, because the noise and the interruption cost you more than the rate difference saves. We will give you an honest view at the inspection rather than selling you the more expensive window by default.

Do you supply toilet paper, hand towel and soap?

If you want us to. Consumables are charged at cost plus 20 per cent and shown as their own line on the invoice, so you can see exactly what the margin is. Many clients keep buying their own through an existing supplier and simply ask us to flag when stock is low, which is free and often cheaper.

Will the same cleaner come every time?

Yes. Each site is assigned to named cleaners with a named backup, and the backup has your scope in front of them rather than a generic checklist. Rotating unfamiliar people through a tenancy is the single most common reason office cleaning contracts fail, and our rostering is built specifically against it.

What happens about security, keys and alarm codes?

Keys and access are registered against named individuals, not held loose in a van. Every cleaner holds a current national police check. Where your building requires an access card, an induction or a visitor register, we complete that before the first shift rather than turning up and working it out at the door.

Do you clean the inside of the windows?

Internal glass, partitions and reception glazing are spot cleaned every visit and detailed on a periodic cycle. Full internal window detail can be scheduled quarterly or half yearly and costed into the monthly figure. We do not take on external windows above ground floor, and we will refer you to a rope access contractor rather than improvise.

Can we start mid-lease, or do we need to wait for a renewal?

Any time. Give your current contractor their notice, and we run the handover: inspect while you are still under the existing arrangement, write the scope, agree the start date and take over keys on the day the old agreement ends. There is no week where nobody comes, which is the fear that keeps most offices with a contractor they have stopped rating.
